Job Objective

The Registrar for moCa Cleveland supports exhibition administration and records management. The Registrar applies industry best standards and practices to oversee all aspects of artwork loans, coordinating and monitoring communications and organizational functions required to implement the museum exhibitions including the contracting and coordination of all loans, packing, movement, and preservation of artworks. With the Chief Curator, the Registrar manages the exhibitions annual budget and supervises contracts, invoices, and moCa’s fine art insurance policy. The Registrar also sets, trains staff, and enforces policies related to preventative conservation for all artworks, and with the Facilities and Operations Manager, supervises the exhibition environments to ensure stability for artworks.  As exhibitions records manager, the Registrar maintains active copies of all exhibition-related data, as well as organizes and maintains the museum’s archival holdings.

Essential Duties and Responsibilities

Prepares legal contracts for loans and exhibitions, including loan, commission, and exhibition agreements, for all in-house and travelling exhibitions Oversees logistics for regional, national, and international art transportation, confirming that packing, handling, and installation standards and protocols are met Ensures and manages fine arts insurance policy Tracks movement of artwork internally and as it enters and exits the Museum, performing incoming and outgoing condition reports and creating written and photographic records of artwork upon entry and exit of Museum Manages exhibition and departmental budgets, processing invoices and coordinating payments. With the Exhibitions Director, supports installation and de-installation logistics, planning, and scheduling Diagnoses conservation and/or framing needs, and liaises with vendors to perform required services Supervises maintenance and monitoring of environmental conditions of relative humidity, temperature, IPM program, and light levels, working closely with Building Engineer and contractors, as appropriate Coordinates with Security and Engagement Team to ensure artwork safety and protocols Maintains active paper and electronic exhibition-related records and sets records management policies and procedures for curatorial department, and coordinates with Kelvin Smith Library for record transition to the archive annually Interacts with museum colleagues, gallerists, patrons and collectors, artists, contractors, vendors, interns, visitors, and volunteers Serves as artwork courier as necessary Maintains the accuracy of the Museum’s AAM Standard Facility Report Supports special projects involving artworks (benefits, auctions, editions, artist merchandising), preparing donation agreements and coordinating framing, incoming and outgoing artwork transit, and communications with buyers

Minimum Qualifications

Education

·        Four-year degree from an accredited institution

Required Length and Type of Experience

·        3+ years professional level Registrar experience

·        3+ years professional level experience managing or supporting the management of budgets

·        Demonstrated success with exhibition cycle management including loan agreements, artwork transit, and preservation

·        Some experience crafting legal contracts and working with insurance

 

Knowledge, Skills, & Abilities

·        Outstanding organization and coordination skills

·        Excellent written and verbal communication skills with the ability to maintain confidentiality

·        Proven budget management skills including invoicing and tracking expenses

·        Strong knowledge of Microsoft Office Suite, especially Excel and Google products (gmail, etc).

 

Physical Demands

·       Employee may be required to be stationary for extended periods of time

·       Employee will be required to move through the office and museum

·       Employee will be required to closely and visually evaluate artworks of varying sizes, materials, and types and record

·       Employee frequently will be required to actively listen and exchange information in-person, by phone, and computer

·       Employee may be required to work occasional evenings and weekends, especially during exhibition installation periods

 

Work Environment

·        Must have reliable, appropriate transportation

·        Must be able to do paper filing and storage in onsite cabinetry

·        Must be comfortable working in an open office environment; cubicle free

Candidate Overview

The Development Director (DD) is a contemporary arts enthusiast and passionate advocate for moCa’s mission whose personal values resonate with the museum’s goals. The DD galvanizes support for moCa’s programs with internal and external constituencies in order to advance a comprehensive fundraising program. Applying a discernable record of successful and innovative experience in leadership, administration, and finance, the DD helps to ensure moCa’s annual operational stability and long-term sustainability through strategic contributed income management and collaborative leadership.

Job Objective

The Development Director (DD) is responsible for designing, leading, and implementing moCa’s comprehensive fundraising program. A member of moCa’s Senior Management Team, the DD oversees the Development staff, budget, and systems, identifying funding priorities and opportunities for institutional support; engaging the team in the execution of moCa’s comprehensive, strategic contributed income plan.  In collaboration with the Executive Director (ED), Chief Curator (CC), and Development team, the DD cultivates, solicits, and stewards private support through memberships and major gift acquisitions from individuals, corporations, foundations, and government entities. The DD works alongside the Finance Director (FD) to track fiscal year giving and analyze revenue in order to make strategic projections for future budgets and campaigns. In collaboration with other Senior Managers, the DD manages moCa’s annual benefit and event-based fundraising, and works cross-departmentally to advance special project, planned giving, and endowment opportunities and donors. The DD serves as the primary liaison to the Board’s Development Committee and assists with stewarding existing board Director relationships as well as identifying new board members.

Essential Duties and Responsibilities

·        Develops, leads, and implements a comprehensive contributed income fiscal year plan, which includes self-monitoring annual goals as well as those of the Development staff to secure gifts from current and prospective donors in support of general operating, benefit/gala, endowment, planned giving, and capital campaigns (as needed).

·        Manages a personal portfolio of high-level prospects, including current individual donors, moCa’s board of directors, corporate donors, and special project donors.

Manages the Development team, operations, and budget, including (with HR support) attracting/recruiting, hiring, motivating, professionalizing, mentoring, and retaining talented Development staff; delegating and empowering while creating a positive and effective departmental work environment.

·        Works with the ED and CC to develop non-local and project specific fundraising strategies that advance contemporary art and the museum’s core work with artists.

·        Cooperates with program staff to build and execute collaborative solicitation and event-based cultivation strategies tied to ongoing and special projects.

·        Oversees Development operations which include ensuring the Development team provides accurate and timely database management, gift processing, and donor correspondence for all contributed income campaigns.

·        Works to develop content strategies and systems for fundraising and acknowledgment in appropriate communications, in collaboration with the Grants Program Director (GPD), Individual Giving Officer (IGO), and the Marketing and Communications team. This includes acting as reader/editor to ensure donor recognition within print, electronic, and digital materials. 

·        With the ED and DF, regularly monitors revenue and expenses related to contributed income and supports updated and future projections.

·        Acts as lead staff for the Board’s Development Committee and assists ED with Governance Committee to identify and steward potential board members.

Builds partnerships and mutually respectful, trusting, and effective relationships with individuals, cultural and academic institutions, community organizations, patrons, board members, and arts professionals to help garner support and resources for programs and advance moCa’s mission.

·        Works collaboratively with the senior management team on institutional initiatives including program development, branding, audience development, earned income generation, budget balancing, exhibition planning, and visitor and member experiences and evaluation.

 

Minimum Qualifications

Education

·        Four-year degree from an accredited institution required.

 

Experience

8-10 years direct development/fundraising experience in a non-profit role with a record of increasing levels of responsibility. Proven track record of cultivating, securing, and stewarding gifts at the 5, 6, and 7-figure levels. 5+ years with demonstrated senior-level leadership and management responsibilities. Proven success and results in cultural fundraising, specifically in individual giving and major gifts, with experience as a board or community liaison preferred.  

·        Direct experience working with or in the contemporary art ecology preferred.

 

Knowledge, Skills & Abilities

Excellent written, oral/public communication, and interpersonal skills; attentive listener, and engaging storyteller able to plan and execute strategic communications to advance and achieve philanthropic goals. Excellent organization and analytic skills. Experience with capital campaigns, endowment campaigns, and planned giving efforts preferred.

·        Fluency in English: speaking, reading, and writing, with superior written and verbal communication skills.

·        Proficiency with Google applications, Microsoft Office Suite, video conferencing, project management software, and familiarity with donor management software (moCa uses Raiser’s Edge).

·        Ability to understand, extract, and analyze data for effective prospect strategy and programmatic reporting and tracking.

·        Ability to engage diplomatically and confidentially with and engender the trust of donors, colleagues, board members, and stakeholders at all times.

·        Enthusiastic and skilled networker who enjoys connecting with the community, attending events, and participating in activities to position moCa for success.

Physical Demands

·       Employee will be required to meet in close proximity with donors and audience members, at the museum and at other venues such as homes, restaurants, and public spaces.

·       Employee frequently will be required to actively listen and exchange information in-person, by phone, and computer.

·       Employee will be required to work weekends and occasional evenings.

 

Work Environment

·        Must have reliable, appropriate transportation and a current Driver’s license.

·        Must have a current and valid passport, and willingness and ability to travel by plane, car, and train.
